Tournament Scheduling 101

Items to consider:

  1. Uneven number of teams – can create scheduling headaches;
  2. Post your schedule sooner than later – Teams will appreciate the extra time, especially teams booking hotel reservations.
  3. Multiple pools – 2 pools are 4 teams are typically preferable to 1 single pool of 8 teams.
  4. Venue availability – confirm dates, times, and number of playing surfaces.
  5. Game slot length – account for warm-up, play time, and transition between games.
  6. Division and age group needs – younger divisions earlier, older divisions later.
  7. Number of teams per division – affects total games required and pool structure.
  8. Round robin vs. elimination format – impacts schedule design and game count.
  9. Rest periods – ensure fair recovery time between games for all teams.
  10. Travel considerations – minimize back-to-back games for teams traveling further.
  11. Start and end times – respect early/late limits, especially for younger players.
  12. Officials and volunteers – availability and scheduling balance.
  13. Venue conflicts – avoid overlaps with other events or ice/field bookings.
  14. Breaks and ceremonies – opening, awards, or planned downtime.
  15. Contingency plans – flexibility for delays, overtime, or unforeseen issues.
