Brackets Invite Teams to Register

The Brackets Invitation tool enables tournament organizers to compile a list of contacts who will receive email invitations to register for their upcoming tournament.


The invitation list can include team contacts you've gathered, teams that have reached out to you, or teams that participated in your previous tournaments.


Important: Before Proceeding, please ensure your registration is setup and open


To send email Invitations to your Contacts, you will need to:


  1. Compile a list of your contacts

  2. Draft an invitation letter

  3. Select Contacts & Send your message



To get started ...


In Brackets, navigate to Marketing --> Invitations --> Invitation List



PART 1 Compile a Contact List


Contacts you've gathered or teams that have reached out to you.


Click the "Add Invitation" button found at the top right of the page. (Invitations can be imported from a spreadsheet – follow the upload directions)


1. Enter a code for the invitation. This can be any combination of letters and or numbers. The "Code" cannot be changed once it's set.

2. Select the group you want the team to register for. If the group is unknown, leave blank.

3. Enter the Team Name City

4. Enter the Team Nickname

5. Add the Name of the contact

6. Insert the Email Address for the contact


Insert & Close if you are done OR Insert & And Another if you have more contacts to add.


Generate Many Codes (Bulk):

To quickly generate multiple Invitation Codes use the "Generate 5 (more) Non-Group Codes" button or the "Generate 5 (more) Codes for each Group" button.

Simply add the Team Name and Contact information to the generated codes.



Import Contacts from Previous Tournament

If your organization used Brackets registration for past tournaments, you can use add those contacts to your invitation list.


Click on the “Create From Another Tournament” link and a window will open.



  1. Selection Mode: Enable to the Check box to Select "ALL" contacts or Disable to Select "NONE"

    (either way you will still be able to select any time you want to add to your list

  2. Choose the Season from which you past tournament was run

  3. Select a Tournament (all of your association events for that season will be listed)

  4. Add an Invitation Prefix ie 2025-

  5. Select all of the teams you want to invite.


* You will see the teams with their group and registration status. This list will include “Pending” “Waitlisted” and “Declined” teams (teams that did not actually play in your tournament but did register.

** Remove check box for teams who may not be able to play in your tournament. Ie you don't run a division for them or they have aged-out.

*** The list will include all Primary and Alternate Admins ie. Manager and Coach.



Insert & Close if you are finished, Insert & Add Another if you want to add more from a different tournament.






PART 2 Create your Invitation


In Brackets, navigate to Marketing --> Invitations --> Email Invitation


On this page you will see your list of contacts followed by the Message Subject and the Message Body



  1. Enter a Message Subject

  2. Create in your invitation letter, marketing your tournament to these teams, welcoming them back to your tournament.

  3. IMPORTANT: Click the “Save Current Subject & Message As Default” button or your changes will be lost.



PART 3 Email your Invitation


On the Email Invitations page, at the top of the page, check all of the Contacts you want to invite.




Scroll to the bottom of the page



  1. Make sure the "Also include the direct link to register using the invitation code" is checked

  2. Click the "Send Your Message" button



Your Invited contacts will receive an email with a registration link at the bottom of your email message (Brackets inserts the link). IMPORTANT: Any team you invite will be automatically "ACCEPTED" and bypass the "PENDING" status.
