App Setup WEBSITE ONLY USERS
Step 1 - Add Coaches
Add your coaches WITH THEIR EMAILS in the Members (Used to be Rosters) section.
Step 2 - Sync
Sync your App with your teams. Hit Initialize All. This sets the App up and assigns each team an ID. Hit Sync Names and Logos. This will sync the logo and the team names. This can also be done anytime there are name changes during the season. Hit Assign Coaches/Managers. This will loop through the roster section and assign the coaches you have added with their emails to their teams.
Note: Your Team ID is found here. You can give this to Coaches who can give to the parents if they would like to join the App using the team code instead of searching for the team.
TIP: You can also find this code on the live Team Page of the website.
Step 3 - Settings
Double click any of your teams to change the settings for the team. You can do this at the Site Level or the individual team level. This can also be done via the App or on the individual team App settings in the Content section of the website.
Step 4 - Rosters
You are now able to use the App. There are 3 ways to setup rosters.
1) The Association can load them via the website
This is by far the most time consuming option as the association needs to load all of the rosters. It can be done manually or via import. Both options are managed by going to the team site and either adding or Importing.
Players that are too young to manage their own accounts (IE: Don't have their own emails) need to be added as Players that need Guardians.
Otherwise, if this was a U18 team and the players all manage this themselves then you can simply choose the other option with no guardian required:
Staff can be added the same way if you haven't done so already.
Guardians can also be added this way.
You will need to assign the guardians to their players (if required) once you are done.
You could also choose to Import instead of adding manually. Use the template shown. Note - This template will be for THIS TEAM ONLY. If you wanted to do a mass global import for ALL TEAMS you can do that in the Admin - Importing - Mobile App Players & Guardians section.
2) You can allow parents/players to join themselves and have the coach approve requests.
Parents can download the App and join with the team code you have supplied them with OR they can simply search for the team. IMPORTANT: These incoming requests can be approved by the coach via the App. They will sit in a pending state UNTIL THEY ARE APPROVED so make sure the coaches are checking the team join requests section.
If going this route, the coach will still need to add the players as Basic Members on the App if they are too young to manage the account themselves. This will allow the coach to assign the players to their guardians as the guardians are requesting to join the team. They just need to click on their team and then Create Basic Member. See below.
3) Coach can set them up via the website with Team Webmaster access OR directly through the App.
If a coach has Team Webmaster access to the website then they will see the same screen as above and be able to add Rosters via the website.
The other option is that they can simply choose Add/Invite Team Member from the teams section of the App and enter the emails to invite.
Notes
• People can join as Fans of the team. This doesn’t require approval. They will only be able to see the schedules and NOT the chats.
• Players that are old enough to have their own accounts can join with their emails. They don’t need to be assigned to a guardian. The guardian can still join the team with their own email or as a Fan.
Additional places to verify App setup and for Troubleshooting
As Admins on the site, you have access to this page here. It's an important page as it lets you add coaches on the fly AND mass approve any requests to join the teams.
Any teams that don't have coaches on them will be highlighted in Red. You can add coaches on the fly by clicking on the Edit button on the far left of the row.
If there are any pending join requests that the coach hasn't approved yet, the PJR column will show them. You can double click on the number and it will allow you to Approve/Deny these in bulk.
Another spot you can verify/fix issues for the App roster is by going to the team page itself.
Here you can see the players, the coaches, guardians etc. You can also add any of these on the fly by using the Add buttons.
You can double click anyone's name to change their status (Coach, Guardian etc).
You can assign players to their guardians if that hasn't been done already.
